TroopMaster tracks all troop activities — meetings, campouts, hikes, service projects, and more — and automatically credits attendance toward rank requirements and award totals.
TroopMaster comes with built-in activity types, and you can add custom types. Standard types include:

As you define |
When you define a custom activity type, you specify exactly how it credits members — toward Second/First Class requirements, camping, hiking, service, etc.
- Navigate to the Activities section
- Click Add Activity
- Fill in:
- Activity name and type
- Date(s) — for multi-night campouts, enter start and end dates
- Location and description
- Relevant totals (miles hiked, hours of service, etc.)
- Save the activity
For regularly occurring events (e.g., weekly troop meetings):
- Add the first occurrence
- Use the Recurring Event option to automatically generate the series
- Set the frequency (weekly, monthly, etc.) and end date
After an activity, record which members attended:
- Open the activity record
- Navigate to the Attendance tab
- Mark each member as present or absent
- For partial attendance (e.g., a scout who left early):
- Record the specific hours attended, or
- Record the specific nights attended for a multi-night campout
TroopMaster supports partial attendance to accurately track activity totals.
¶ Activity Totals and Auto-Credits
TroopMaster automatically accumulates:
- Camping nights — total across all campouts
- Hiking miles — total across all hikes and backpacking trips
- Service hours — total across all service projects
- Meeting attendance — count and percentage
These totals are displayed on individual scout records and appear on reports. They can be used to verify rank requirements (e.g., First Class camping and hiking requirements).
TroopMaster Web 2.0 supports calendar integration:
- Export activities to Google Calendar or compatible formats
- Parents and scouts can subscribe to the unit calendar
- Activities added to TroopMaster automatically appear on the calendar
¶ Activity Registration and Payments
For activities that require sign-up and payment:
- Set up the activity with a registration deadline and fee
- Members can register and pay through the TroopMaster portal
- PayPal integration is available for online payment collection
- Generate permission slips for activities that require them
- Send email reminders to members about upcoming events
TroopMaster can send automatic email reminders for upcoming activities:
- Configure the reminder on the activity record (how many days in advance)
- Select which member groups receive the reminder
- TroopMaster sends the emails automatically
TroopMaster includes a module for tracking fundraiser participation:
- Track individual scout sales targets and actual sales
- Record payment collection status
- Generate reports for top sellers and outstanding payments
- Supports popcorn sales, camp card sales, and custom fundraisers
Key activity reports include:
- Activity List — Full list of activities with dates, locations, and descriptions
- Attendance Matrix — Grid showing which members attended which activities, with totals
- Individual Participation History — Full activity attendance history for each member
- Activity Totals Summary — Camping nights, hiking miles, and service hours per scout
